Abstract Submission FAQs

What is the deadline for abstract submissions?
The deadline for abstract submissions was 11:59 PM (EST) on February 13, 2018.

How can I submit my abstract?
Abstracts can ONLY be submitted online. The submitter can be reached by selecting the “Submit an Abstract” tile on the Annual Meeting website.

How many abstracts can I submit as first author?
Each first author can submit up to two abstracts. Authors may submit an unlimited number of Trials in Progress abstracts. For more information, visit Abstract Submission Guidelines.  

Can I submit a late-breaking data submission? If so, what is the deadline?
Yes, there is an opportunity to submit a late-breaking data submission. However, a “shell” abstract must have been submitted by February 13, 2018 (the “shell” includes all components of the abstract except the results and conclusions). ASCO contacted the first author for updated data to be submitted by March 15, 2018. Please refer to the late-breaking data policies on Abstract Submission Guidelines or call ASCO at 888-282-2552 for further questions.

Can I submit a Trials in Progress Submission? 
Yes, there is an opportunity to submit a Trials in Progress Submission. Please refer to the trials in progress abstract policies on Abstract Submission Guidelines.

What is the maximum length for the title of my abstract?
There is no maximum length for the title. However, the characters in the title will count toward your total character count.

How many characters can be included in my abstract?
The total character count for a single abstract is 2,000. Characters include everything in the title, abstract body, and table but do not include spaces. Author names and institutions also are not included in the total.

Do I have to enter my abstract in a specific format?
Yes. The abstract body text contains headings that have already been formatted for you. The headings—Background, Methods, Results, and Conclusions—will count towards the 2,000-character limit. Trials in Progress abstract submissions should contain only Background and Methods sections.

May I include a table with my abstract?
Yes, one table may be included in the abstract. All characters in the table count toward the total character count. No figures or images may be included.

How many authors can be included on my abstract?
The maximum number of authors is 20. One authoring group may also be included along with the individual author names. The group name will appear as the last author of the author string.

May I submit an abstract if I am not an ASCO member?
Yes, you may submit an abstract even if you are not an ASCO Member, however, you will need a sponsor who is an ASCO Full Member to sponsor the abstract. Please visit the Sponsor Responsibilities section of Abstract Submission Guidelines for more information.

Can I revise my abstract after it has been submitted?
Yes, you may edit your abstract on the submission website until the deadline of 11:59 PM (EST) on February 13, 2018. After the submission deadline, all requests for abstract changes must be submitted by the first author to the ASCO Abstracts team and will be reviewed on a case-by-case basis. Changes to data and results are not permitted.

Is there an abstract submission fee?
There is a $60 (USD) nonrefundable fee for submitting an abstract. Payment must be made by credit card. Visa, MasterCard, and American Express are accepted. Purchase orders, wire transfers, and checks will not be accepted. The abstract submission fee does not include registration for the Annual Meeting; therefore, all authors planning to attend the ASCO Annual Meeting must register for it separately. First authors from low-income countries, as defined by the World Bank, may apply for a payment waiver by emailing the ASCO Abstracts team.

If I would like to withdraw my abstract what should I do?
If the first author wishes to withdraw his or her abstract from the Annual Meeting program, a request must have been submitted by April 8, 2018, to the ASCO Abstracts team. Any abstract withdrawal requests after this date will be considered on a case-by-case basis and cannot be assured removal from the 2018 ASCO Annual Meeting Proceedings.

When and how will I receive notification about the status of my abstract in the program?
Notification regarding acceptance or rejection of abstracts was sent by email to the first author by mid-April 2018. The decision of the ASCO Scientific Program Committee and ASCO Leadership regarding acceptance and presentation of abstracts is final.
